Position Overview
Primary Function of Organizational Unit
The Facilities Management Department is responsible for directing all aspects of facilities including Operations and Capital Projects. We provide oversight of master planning, property acquisition/disposition landscape planning, engineering design, contract development, project construction, renovation planning, energy conservation planning, energy and sustainability, Historically Underutilized Businesses (HUB) program, and facilities maintenance and operations.

The Facilities Operations Department provides quality building and grounds maintenance and provides services that support faculty, staff, and students in pursuit of excellence in their individual and institutional, academic, research and community objectives. The goals of the department are directed at facilitating a proper environment to meet the current and future needs as set forth in the University’s Strategic Plan. To this end, the department will strive to cooperate fully with all campus constituents to provide a functional and efficient facilities operation for the University. The Facilities Services Department is part of Facilities Management in the Administration and Financial Affairs Division.
Primary Purpose of Position
For the Facilities Operations Division, this position serves as the Work Control Coordinator for Residential Life and Auxiliary Services. This position is critical in providing customer service to the student body, faculty and staff. Coordination of the communication and joint operation of four teams in the department to include General, HVAC, plumbing and electrical trades as well as project management.

This position helps command the work control center to ensure the timely and accurate creation, dissemination and documentation of work orders. Judgement and initiative are frequently exercised. Frequent verbal and written communication is required internally and externally (with vendors, contractors, etc.). Often interpret and makes decisions base don administrative and programmatic policy. position is essential to the effective response of Facilities Operations to emergent issues ans vital to the time, resource and cost accounting of work performed by Facilities Operations. This position will also be required to perform other work as assigned.

Duties
In order to ensure that this office is supporting the University’s Strategic Priorities/Goals and/or mission-critical operations, this position will receive, verify and prioritize work orders from campus contacts, will also create work orders, enter labor, contract and materials charges against the work order and closes work orders when complete, manage data in the work control system, perform periodic updates of critical information and has full create capability within the work order system.

Duties
Act as the communications center and dispatch for trades and professional staff, screen calls and direct needs to the respective trades supervisor and if needed, direct to the appropriate area so that the specific need is addressed and trains others in the use of the work order system, prepare and compose letters, memos, emails and reports using word processing, spreadsheet and other software.

Duties
This person will serve as a liaison, with delegated authority, between administrator and subordinate units by relaying instructions and information and following commitments through to completion. Interacts and communicates with strong degree of judgment and discretion. This person will be required to have an awareness of specific functions and all assignments within the organization.
Required Competency Planning and Organizing Work
Duties
This person will maintain and analyze data in the work order system. They will define queries and write reports that show work efforts captured in the work order system, maintain a complex data filing system, develop processes relative to the work control system, perform periodic billing of work orders and control inventories assigned to Facilities Operations.
